Agent Terms & Conditions

These terms apply to event planners, agents or venues looking to subcontract or refer business to one another. By using Party Pop Ins services you agree to these terms.

  • Vendors present at the event are allowed to use images of our entertainers for commercial purposes, provided they adhere to the following guidelines:

    • Vendors must not compete with or pose a conflict of interest with Party Pop Ins. This includes businesses that primarily offer character entertainment services, whether they operate as a mobile company like ours or as a storefront, spa, or venue focused on character experiences.

    • Vendors must tag Party Pop Ins (@partypopins) in all images of our entertainers used on websites, social media posts, ads, proposals and captions. We are happy to tag other businesses present as well.

    • Party Pop Ins images must not be used on accounts featuring adult content.

    • Do not screenshot or download images from our pages for commercial use. Request an image if needed.

    • We represent only Party Pop Ins at events, though we may cross-promote other businesses.

    • We distribute Party Pop Ins materials to guests and display a retractable banner at public events.

    • For private gatherings, the parent or event host will receive a follow-up email after the event with an invitation to join our mailing list for updates on upcoming public events and exclusive freebies.

    • We gladly allow other vendors to use images of our entertainers for commercial purposes as part of cross-promotion efforts, enhancing their content with the magic of our characters. If a professional photographer will be present and plans to use images of our entertainers commercially, they must also provide those images to us for our commercial usage.

    • All commercial use of our entertainers' images must include a tag crediting Party Pop Ins (@partypopins) in posts, ads, and promotional materials.

    • Planners: Please share this policy with photographers before booking them or booking us. Photographers often welcome the opportunity to cross-promote and benefit from having our characters featured in their images.

  • We must be the only character company booked for your event. If another company is desired, prior approval is required. If a competitor is present without our consent, we will exit the event without a refund.

  • For private events such as small gatherings or birthday parties, we require the host’s phone number and email for communication. This is typically the birthday child’s parent. After booking, they will receive an introductory call and a post event thank-you message.

    • Outdoor Events
      A tent or covering is required to protect our costumes from weather conditions and to prevent performers from overheating. Performers cannot stand in direct sunlight to avoid overheating in costume.

    • Paint Policy
      We must be kept away from wet craft paint, acrylic paint, or nail polish stations. If paint damages our costumes, the client must reimburse repair or replacement costs within 7 days. Costume values range from $200 to $1,500. Face paint is allowed as it doesn’t stain.

  • Our entertainment can be tailored to fit your event. If any significant adjustment requests result in additional fees, we’ll notify you before finalizing your booking.

  • Parents must personally review and agree to our terms. This can be done by paying the invoice themselves, or if an agent is handling the payment, the policies can be sent directly to the parents for their confirmation.
